Information we collect automatically
When you visit the Site, we automatically collect certain technical information about your device and your visit, including IP address, browser type and version, device type, operating system, time zone, referring URLs, pages visited, and timestamps. We refer to this information as "Device Information".
We collect Device Information using the following technologies:
- Cookies and similar technologies: small data files placed on your device. You can learn more about cookies and how to disable them at allaboutcookies.org.
- Server log files: automatic records of requests made to our servers, including IP address, request URL, response code, and timestamp.
- Analytics events: page views, scroll depth, button clicks, and form-interaction events.
How we use your information
We use the information we collect to:
- Respond to your inquiries and provide the services you request.
- Evaluate job applications and communicate with candidates throughout the hiring process.
- Send the Applica Digest newsletter and other communications you have opted in to. You can unsubscribe at any time using the link in the email.
- Measure and improve the performance of the Site and our marketing campaigns through aggregate analytics.
- Detect, investigate, and prevent fraudulent, malicious, or abusive activity on the Site.
- Comply with our legal obligations and enforce our legal rights.
Legal basis for processing (UK/EU)
If you are located in the United Kingdom or European Economic Area, we rely on the following legal bases under the UK GDPR and EU GDPR:
- Consent — for newsletter subscriptions and for non-essential cookies and analytics, where applicable.
- Performance of a contract / steps prior to a contract — when you contact us about engaging our services or apply for a job.
- Legitimate interests — to operate, secure, and improve the Site, communicate with prospective clients about our services, and protect against fraud and abuse. Where we rely on legitimate interests, we have considered your rights and interests and concluded that our processing is proportionate.
- Legal obligation — where processing is necessary to comply with applicable laws.
How we share your information
We do not sell your personal information. We share it with the following categories of recipients, only as needed to provide and operate the Site and our services:
- Service providers and processors who help us run the Site, including our hosting provider (Vercel), product analytics provider (PostHog), form-routing automation (Zapier), and email and CRM tools. These providers process personal information on our behalf under written agreements.
- Professional advisors such as lawyers, accountants, and auditors, when required for the establishment, exercise, or defense of legal claims.
- Authorities and others when required by law, court order, or to protect the rights, property, or safety of Applica, our clients, or others.
- Corporate transactions — in the event of a merger, acquisition, financing, or sale of business assets, your information may be transferred to a successor entity, subject to the protections of this Privacy Policy.
International transfers
Applica is based in the United Kingdom and works with service providers located in the European Economic Area, the United Kingdom, and the United States. Where we transfer your personal information outside the UK or EEA, we rely on appropriate safeguards such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or transfers to jurisdictions recognized as providing an adequate level of data protection.
Cookies and tracking
We use a small number of essential and analytics cookies. Essential cookies are required for the Site to function. Analytics cookies help us understand how visitors use the Site so we can improve it. You can control cookies through your browser settings; doing so may affect how the Site works for you.
Data retention
We keep your personal information only for as long as needed for the purposes described in this policy, to comply with our legal obligations, and to resolve disputes. Contact form and newsletter data are typically retained for the duration of our business relationship and for a reasonable period afterwards. Job-application data is retained for the duration of the recruitment process and, where appropriate, for a limited period afterwards to consider you for future roles (with your consent).
Your rights
Depending on where you live, you may have the following rights in relation to your personal information:
- The right to access the information we hold about you.
- The right to ask us to correct inaccurate or incomplete information.
- The right to ask us to delete your information.
- The right to restrict or object to certain processing.
- The right to data portability — to receive your information in a commonly used machine-readable format.
- The right to withdraw consent at any time, where we rely on consent.
- The right to lodge a complaint with a supervisory authority. In the United Kingdom, this is the Information Commissioner's Office (ico.org.uk).
To exercise any of these rights, please email hello@applica.agency. We will respond within the timeframes required by applicable law.
Do Not Track
Some browsers offer a "Do Not Track" (DNT) signal. There is no industry-standard interpretation of DNT signals, and we do not currently respond to them. We do, however, honor cookie and consent preferences set through the Site.
Children's data
The Site is not directed at children under the age of 13, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us so we can take appropriate steps to remove it.
